Marine Operations Analyst
Sea Star Line, LLC is a privately held company providing integrated transportation services between the United States, Puerto Rico and the U.S. Virgin Islands. Sea Star is headquartered in Jacksonville, Florida, with offices in San Juan, Puerto Rico; Port Elizabeth, New Jersey; Port Everglades, Florida; and St. Thomas, U.S. Virgin Islands.
We are currently looking for a Administrative Assistant to provide exceptional administrative support to the Office Administration Manager and the Senior Management Team (President, SVP,CFO/IT, VP's) in order to relieve Manager and Senior Management of administrative detail.
Salary Median start in $13 p/h, plus benefits and potential performance bonus.
Successful candidate will need to satisfy the following requirements:

Strong sense of confidentiality and management of sensitive information is required.

Two to five years experience as an Administrative assistant and/or related experience.

High School diploma or equivalent required. Vocational or Associates Degree preferred.

Must be proficient in the use of the Microsoft Office series.

Bilingual English/Spanish is a plus.

Ability to read, analyze, and interpret administrative periodicals, journals, technical procedures, and business correspondence.

Excellent interpersonal, oral and written communication skills are required, along with experience in a fast paced, project oriented team environment.
Main Duties and Responsibilities:
-
Handles a wide variety of situations and conflicts involving the clerical and administrative function of the office, which often cannot be brought to the attention of the senior managers.

Composes correspondence requiring some knowledge of executive views, philosophy, and some understanding of technical matters (most will be directed by the OAM).

Notes commitments made by senior managers and arranges for communications to the staff as directed by OAM.

Prioritizes and summarizes the content of incoming materials, including collation of information, to assist senior managers.

Assists in organizing schedule and routine to ensure that the senior managers are most effective and efficient.

Possesses increased level of maturity to handle details of a sensitive nature, and performs administrative functions based on understanding of company policy as well as the company's views and philosophy.

Schedules appointments, gives information to callers, and relays pertinent information to the senior managers.

Reads and routes incoming mail.

Orders, tracks, maintain, distribute and reports usage of office supplies, Stationary and business cards for the entire organization.

Reports and tracks all facilities issues via office management company website (Building Engine).

Books and coordinates group travel arrangements (3 or more).

Facilitates use and set-up of corporate accounts and direct billing with various hotels; coordinate lunch meetings; assist in compilation of Board books; complete expense reports, enters, tracks, and codes purchase orders and invoices in great plains, for senior managers as required.

Copy rooms and machines - Organizes and replenishes supplies as needed

Receptionist - Provides coverage for lunch and breaks.
